The Faculty of Science has over 3,600 students guided by more than 400 teaching and research staff, and has six major teaching units, offering a comprehensive range of undergraduate and postgraduate programmes.

Reporting to the Faculty Secretary (or designate), the appointee(s) will be cross-trained and deployed to handle a flexible mix of responsibilities spanning postgraduate education, research administration, financial operations and resource administration, and general executive, administrative, secretarial and operational functions within the Faculty Office. Duties include (a) co-ordinating admissions, nominations, and qualification vetting for postgraduate portfolios (including taught postgraduate programmes, HKPFS, and strategic funding / training schemes); (b) providing logistical support for academic planning, budgeting, scholarships, programme quality assurance, reviews, and accreditation / compliance exercises (such as HKCAAVQ and CEF); (c) co-ordinating logistics and publicity for postgraduate seminars, ceremonies, and outreach activities; (d) executing core faculty research initiatives, including research project management for internal and external research schemes; (e) providing executive and secretarial support to research panels and committees; (f) liaising with central university offices and external funding bodies; (g) assisting in organising workshops, seminars, and strategic research events; (h) assisting in a wide range of financial matters for the Faculty, including undergraduate and postgraduate programmes, academic and non-academic units, with duties include, but not limited to, budget control, invoice and procurement approval, reimbursement claims, etc.; (i) preparing regular and ad-hoc financial reports; (j) financial forecasts and projections; (k) resource planning and management; (l) serving as a key liaison across academic departments, central administrative units, and external stakeholders; (m) rendering secretarial support to faculty-level meetings, working groups, and major institutional initiatives; and (n) assisting with general office operations, and undertaking other ad hoc duties and cross-portfolio assignments as required. Overtime work, including weekends, will be required occasionally.

Applicants should have (i) a Bachelor's degree; (ii) at least 2 years' post-qualification administrative experience at tertiary institutions; (iii) proficiency in computer applications, such as MS Office 365 and Chinese word-processing; (iv) an excellent command of written and spoken English and Chinese (including Putonghua); (v) strong problem-solving, organisational, multi-tasking and interpersonal skills; and (vi) the ability to work effectively in a team as well as independently. Shortlisted candidates will be invited to sit for a written test. Having experience in postgraduate academic programme administration, research and financial management, and/or committee work will be a distinct advantage.

Appointment will initially be made on contract basis for 1 to 2 years (with contract-end gratuity for a 2-year contract), renewable subject to good performance and mutual agreement.
